Online booking system for a small business: cost, features and reminders that cut no-shows

People inside a busy cafe

Quick answer

Ready-made booking tools cost a monthly fee per staff member or location. A custom booking system built into your website usually starts around $4,500 and suits businesses with special rules, several branches or their own payment flow. Whatever you choose, automatic reminders and deposits are the features that pay for themselves.

Every missed appointment is time you cannot sell again. An online booking system lets customers book at any hour, takes a deposit, and reminds them before they forget.

Do reminders really reduce no-shows?

The best evidence comes from healthcare, where missed appointments are measured carefully. A Cochrane review of seven studies with 5,841 people found that text-message reminders increased attendance by about 14% compared with no reminder, and worked about as well as phone calls at a lower cost per attended appointment (Cochrane). The review rates the evidence as moderate quality.

A salon, clinic or consultancy is not a hospital, but the lesson carries over: a short, timed reminder costs almost nothing and gets more people through the door. Adding a deposit gives customers a reason to cancel properly instead of not showing up.

What features does a booking system need?

  • Real-time availability per staff member, room or resource.
  • Reminders by SMS, WhatsApp or email, 24 hours and 2 hours before.
  • Deposits or full payment at booking, by M-Pesa or card.
  • Self-service changes: customers move or cancel within your rules.
  • Buffers and limits: cleaning time between bookings, maximum bookings per day.
  • A staff view on a phone, and a daily schedule summary.

Should you use a ready-made tool or build a custom system?

Start with a ready-made tool if it fits how you work; it is quicker and cheaper at first. A custom system makes sense when:

  • Your rules do not fit the tool: packages, multi-step services, equipment or room limits.
  • You need local payments such as M-Pesa STK push with automatic confirmation.
  • You run several branches and want one dashboard and one set of reports.
  • Per-staff monthly fees add up to more each year than building once.
  • You want the bookings and customer data on your own website, not someone else’s platform.

How much does a custom booking system cost?

Most custom booking systems we build land between $4,500 and $12,000, depending on the number of services and branches, payment methods and reminder channels. That includes testing, security and handover; hosting and SMS or WhatsApp sending are paid monthly to the providers.

How do you get started with online booking?

  • Count last month’s no-shows and late cancellations, and what they cost you.
  • Write down your booking rules: durations, buffers, deposits, cancellation policy.
  • Decide which reminders to send and when.
  • Test the flow on a phone, as a customer, before you announce it.

From my work

The part of a booking system that takes the most care is the payment confirmation. With M-Pesa, the booking should only be confirmed when Safaricom’s callback reaches the site and the amount matches, never because a customer forwards a message. I build that check in from the start, because it is the easiest place for a business to lose money without noticing.
